Creating School Events
The School Calendar is the central hub for creating and sharing school events, ensuring that students, guardians, and staff stay informed. It’s recommended to use the School Calendar for events that involve the entire school or a significant portion of the community, such as:
- First Day of School
- Parent-Teacher Conferences
- No School Days
- School Picture Day
- Music Concerts
To create an event on the School Calendar:
- Go to School Calendar (located on the Teacher side in the Microschool version).
- Hover over the event date and click the + symbol.
- If creating many events at once, select School Event Set.
- Fill in the event details. If the event spans more than one day, select the start and end dates.
- Select the students, guardians, and staff the event applies to and whether attendance is required.
- Create the event.
Managing School Events
Recording Attendance
To require attendance for an event:
- In the Attendees section, select the students, guardians, or staff the event applies to.
- Check the Require Attendance box.
- A new attendance schedule will be created automatically and can be accessed in the Attendance → Schedule page.
To record attendance for an event:
- Go to one of the locations where attendance can be recorded.
- Select the student and then choose their attendance status.

Changing an Event Date
You can change the date of an event by either:
- Opening the Event Modal and adjusting the date, or
- Dragging the event on the calendar to the new date.
School Calendar View Options
You can adjust how you view your school calendar by clicking View Options at the top of the page.
Viewing School Events
- Students: Students can view their scheduled events by selecting Calendar in their student portal.
- Guardians: Guardians can view events by visiting Assignments. Events will appear at the top of the assignment calendar on their scheduled dates.
- Staff: Staff can view school events on the School Calendar. To enable staff access, ensure they have permission for Calendar Events. For details on managing staff access levels, see the help page: Staff → Portal Access.
Troubleshooting Viewing Issues
If school calendar events aren’t appearing, ensure the correct term is active. Events only display when the corresponding term is selected.
If an event doesn’t appear on the student or guardian portal, check the following:
- Term Access: Ensure the term in which the event was created is open to students. Go to the Term page, find the term, and select Open to Students from the dropdown next to it.
- Attendee Selection: Confirm that students were selected as attendees for the event.
